Refund Policy - All Programs
At Whitby Figure Skating Club (WFSC), we are committed to transparency and fairness in our registration and refund process. Please review the following policies carefully before completing your registration.
Skate Canada Insurance & Safe Sport Fee
All registrants are required to pay the annual $65.00 Skate Canada Insurance & Safe Sport Fee at the time of registration.
- This fee is mandatory and non-refundable, regardless of when or if the skater participates in sessions.
- By registering, you acknowledge and agree to this payment obligation.
Refund Policy
WFSC carefully plans programs, ice contracts and coaching allocations based on registration numbers. As such, refunds and adjustments are limited.
General Policy
- No refunds or fee adjustments will be provided due to:
- Holidays/Vacations
- Illness
- Maintenance repairs
- Ice cancellations
- Make-up sessions are not available for missed skating days.
Eligible Reasons for Refund Consideration
Refunds may be considered under the following circumstances:
- Medical reasons (a doctor's note may be required)
- Relocation outside the region
- Other exceptional circumstances at the discretion of WFSC Executive Member(s)
Withdrawal & Refund Timing
Before the First Day of Skating
- Refunds are permitted, less:
- $15.00 Administrative Fee
- $65.00 Skate Canada Insurance & Safe Sport Fee
After the First Day of Skating
- A prorated refund will be issued, less:
- $25.00 Administrative Fee per session
- $65.00 Skate Canada Insurance & Safe Sport Fee
Recreational Session Deadlines
- Fall Recreational Sessions: No refunds after October 31
- Winter Recreational Sessions: No refunds after February 14
Exceptions may be made for medical reasons only. After these deadlines, approved withdrawals will result in a credit applied to the skater's account for future use.
How to Request a Refund or Withdrawal
To initiate a request:
- Submit an email to: WFSC Registrar
- Complete the Refund/Withdrawal Request Form (available on the Policies page of our Website)
Processing Information
- Approved refunds will be credited back to the original payment method
- Please allow 7-10 business days for processing
- All session changes are subject to a $25.00 Administrative Fee
All refund requests must be submitted using the WFSC Refund Request Form. Refunds will only be considered effective the date the form is processed; there is no backdating requests.
Weather Cancellation Policy
Weather-Related Cancellations
In the event of inclement weather (e.g., snowstorms, freezing rain or unsafe travel conditions), skating sessions may be cancelled to ensure the safety of our skaters, coaches and families.
Sessions will be cancelled if the facility is closed or if the Club determines that it is unsafe to proceed.
Ice time is pre-booked and non-refundable, no refunds or make-up sessions will be provided.
Cancellation notices will be communicated via email at the earliest opportunity.
